How contact information is handled.
This page explains how Aji to Kotowari handles information submitted through the contact form. The Japanese version is the source text.
Information and purpose
The form collects an optional name, a required reply email address, an optional subject and your message. I use them to handle and reply to enquiries and to prevent abuse and spam. I do not use them to send promotional email or publish them in an article without permission.
Services and storage
Cloudflare receives and stores form submissions. Gmail receives only a notification that an enquiry arrived; that notification does not contain the name, reply address, subject or message. Email services may be used for a reply. Messages are not made public. I review them for the purpose of responding, and do not share them without consent except as needed to provide the service or comply with law. Retention and security
Ordinary enquiries are generally deleted one year after the matter is closed; spam is generally deleted 30 days after classification. Ongoing matters or disputes may require longer retention. Forwarded messages and replies are also subject to review. Service backups may retain information for their own set periods. Authentication, access controls, encrypted connections and rate limits help prevent unauthorised access or misuse. Connection information is used for spam prevention.
